ANALYTICS

Information is the key to any successful procurement initiative. It is vital to get all the facts before sending out your RFP or RFQ. That is why it is important to pre-select your bidders through a time-tested procedure. First define what you want and then find the suppliers that would best fill your needs. This may sound easy, but often too many buyers stay with what is comfortable and not explore new possibilities. This is why an RFI (request for information) process is important to seek out new resources and to validate the ones you already use.

Most buyers send out an RFQ (request for quote), this is fine if you are just quoting a single brochure, but if you are looking to find a supplier to print a publication or a series of items in a program then you need to send out an RFP (request for proposal). In a proposal you want to cover all aspects of the project, from pre-press, printing, bindery and logistics. It is to your advantage to lock down all the players. A well-written RFP, once awarded can be easily converted to a binding contract. This will leave you free to develop a true integrated relationship with you chosen suppliers that will benefits all parties.
